Accountants: 14 tasks for your first 14 days with Satago

Who has time to play with software?

You’re busy. So – here are 14 tasks to help you get the most out of your Satago trial & quickly find out it’s for you.

1. Connect your accounts package

Whether you use Sage, Xero, or any of the 300+ other accounting software tools we integrate with, the first step of getting the most out of Satago is to connect your accounts.

This will pull through all of your customers and their open invoices to start creating useful debtor insights.

2. Find out your own company’s risk rating by matching to its legal entity

Matching your company to its legal entity within the platform to you will unlock your own credit profile and risk rating.

This will show you what other companies can see about you, including:

  • credit risk profile,
  • your credit score trend,
  • what the suggested credit limit of your company should be,
  • the industry vertical that you operate in and
  • your average days beyond terms (DBT) along with its current trend.

3. Identify risks by matching your customers to their legal entity

As with matching your own legal entity, match your customers to their relevant legal entity to unlock their credit profile and risk rating.

You probably already know the ages of your debtors, but once your customers are matched, you’ll also be able to view your debtors based on the risk of your customers.

4. Maximise the impact of credit control by completing customer profiles

Return to the taskboard to see if there are any customers with incomplete contact information.

Click into each customer’s profile to add the missing information.

Doing this will maximise the number and success rate of automated credit control emails that are sent.

5. Add your own branding by uploading your company logo

A company’s logo is an important part of a company’s brand, so we ensure that you can use this to customise your credit control e-mails and make them more impactful.

Head to the ‘organisation’ section within the ‘admin’ area of your Satago account and upload your company logo. Once you have uploaded your logo you will then be able to include it in any of your email templates.

6. Personalise your credit control templates and sending schedule to suit your business

Setting up and configuring your credit control templates is proven to get your invoices paid faster.

Start by going to the ‘templates’ section within the ‘credit control’ area in your Satago account. From there you’ll see the reminder templates that are available.

You can fully customise the text of these emails, and include additional snippets (like your company logo, invoice amounts, invoice links).

We’ve already included our most successful templates by default for you, but you can adjust these to your own tone.

You can also customise the monthly statement email and the 3 types of thank-you emails in the same way.

After changing email templates, you can preview them using the preview tab above the editing zone. This preview will populate any of the snippets you have included and will show you a full example of what the email will look like when sent to your client.

7. Set up your email sender from the credit control settings

Once you’re happy with your templates you can then move on to the ‘settings’ section of the ‘credit control’ area.

Choose the email address that your reminders will be sent from and a few other tweaks, like including late fees by default, including pdf invoices for download and sender name.

8. Send yourself a test reminder

First, you’ll need to generate some reminders in order to open one and send a preview.

Head to ‘settings’ within ‘credit control’ and untick all of the days, but leave one ticked. Make sure the one you tick isn’t today!

Then, you can switch on each of the reminder types, knowing that none will be sent out whilst you test it.

Satago will now generate a series of reminders, so head to ‘credit control’ and ‘outbox’ to find them. Click ‘preview’ on one of the reminders to view the email, then click ‘send preview email’.

9. Start sending reminders!

Once you’re ready to start sending reminders, head back to the ‘settings section’ within ‘credit control’ and set the time and the days you’d like the send them!

Your reminders will now be sent automatically based the age of the invoice and your sending schedule!

10. Manage your reminders from the notifications centre

Whilst you’ve busy working on steps 1 to 9 above, Satago has been working hard in the background gathering information about your customers, their risk profiles, and their payment history.

We’ll send you meaningful notifications for you that are easy to act on – so check out the notifications area near the top right of any Satago screen.

These notifications include overdue invoice reminders, customers exceeding their credit limit, and any other reminders you may find useful.

Click on the notifications area near the top right of the screen to view your notifications. Here you can also customise the types of notifications you’ll get and how they’re delivered.

11. Add users to the platform at no extra cost

Satago does not charge you for each user that you add to our system – so go ahead and invite anyone in your team who can help to manage your debtors.

Head to ‘Organisation’ under ‘Admin’ then switch to the ‘users’ tab to add users to Satago.

12. See how other firms are using Satago

Head to Satago.com/howweuseSatago for ideas and inspiration from other firms who are successfully using Satago with their clients.

You’ll find stories from firms ranging in size and using different accounting platforms.

13. Connect clients to see how they’re doing

Head to the ‘customers’ area under ‘Accounts’ to see a list of your clients.

Find the clients you’d like to add and click ‘Add Organisation’ next to their names. Follow the prompts to connect them to Satago.

You can connect them to a free version of Satago for now – don’t worry, they can be upgraded later if they need full use of Satago.

14. Review your Satago client-base to see who needs help

Head to ‘Portfolio Overview’ under ‘Risk Insights’ to see a summary of all of your connected clients’ debtor books.

Sort your clients by a number of fields, including total outstanding invoices or average days overdue, to find the clients who need help the most!
